PRIVACY POLICY / PRIVACY NOTICE

1. Introduction

This Privacy Policy (“Policy”) explains how SapiensPaw™ (a brand of SapiensVet Pvt. Ltd.) (“Company”, “SapiensPaw”, “we”, “us”) collects, uses, stores, processes, shares and protects information when you access or use the SapiensPaw Platform including mobile applications, web portals, dashboards, software systems and related services (“Platform”).

2. Scope & Applicability

This Policy applies to all users of the Platform including authorized Government officials, municipal/local body officials, NGOs, veterinary professionals, caregivers/feeders, service partners and other approved users.

3. Key Definitions (DPDP Act aligned)

  • Data Fiduciary: The relevant Public Authority / Local Body commissioning the programme.
  • Data Processor: SapiensPaw as technology service provider processing data for Platform delivery.
  • Personal Data: Any data about an individual who is identifiable by or in relation to such data.

4. Categories of Data Collected

The Platform may collect/process the following categories of information:

  • A) Animal Data: biometric images, animal ID, species, sex, health records, vaccination, sterilization status.
  • B) Geo/Operational Data: GPS coordinates, timestamps, ward/zone details, capture/release evidence photos.
  • C) User Data: name, mobile number, designation, department/NGO details, login credentials.
  • D) Device/Technical Data: device identifiers, OS version, IP address, app version, crash logs.
  • E) Communication Data: notification logs, SMS/WhatsApp delivery status, support tickets.

5. Purpose of Processing

Data is processed only for legitimate project requirements including:

  • Biometric identification of animals and duplicate prevention.
  • CNVR (Catch-Neuter-Vaccinate-Release) workflow tracking and verification.
  • Rabies vaccination record creation and booster reminders.
  • Dashboard reporting and analytics for the commissioning Public Authority.
  • System security, audit logs, troubleshooting and continuous improvement.

6. Legal Basis / Consent

Where required under applicable law including the Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Platform will obtain consent from users before processing personal data. In municipal/public programmes, processing may also occur based on lawful authority, contractual necessity and/or compliance with legal obligations.

7. Blockchain & Data Integrity Layer

The Platform may use a blockchain-secured data integrity layer to protect against tampering, duplicate entries, and audit disputes. Blockchain usage is intended for ensuring immutability and traceability of records and does not imply public disclosure of sensitive information.

8. Data Sharing & Disclosure

No programme data shall be shared with any third party without written approval of both (a) the concerned Public Authority and (b) SapiensPaw, except where disclosure is required by law, court order, or competent authority.

9. Data Storage & Localisation

All Platform data is hosted and stored in India on Government-approved / MeitY-compliant cloud infrastructure with reasonable encryption, backups, and disaster recovery systems.

10. Data Retention

Data is retained only for as long as necessary for programme delivery, audit requirements, or legal compliance. Upon termination or completion, data shall be handed over to the Public Authority as per agreement and securely deleted from Company systems except where retention is mandated by law.

11. Security Measures

SapiensPaw implements industry-standard security safeguards including:

  • Encryption at rest and in transit.
  • Role-based access control (RBAC).
  • Continuous audit logging and monitoring.
  • Secure backups and georedundant disaster recovery.
  • Periodic security checks and vulnerability assessments.

12. User Responsibilities

Users must:

  • Follow established capture SOPs and data entry protocols.
  • Keep login credentials strictly confidential.
  • Avoid unauthorized sharing or downloads of Platform data.
  • Report any security incidents or potential breaches promptly.

13. User Rights (DPDP Act)

Subject to the DPDP Act and applicable rules, users may request access/correction/erasure of their personal data and may withdraw consent (where applicable). Requests may be made via the contact details provided below.

14. Cookies / Tracking

Web interfaces may use essential cookies or local storage strictly for authentication, session management and security. No behavioural advertising or third-party tracking is performed.

15. Updates to this Policy

This Policy may be updated from time to time to reflect changes in legal requirements or platform functionality. Continued use of the Platform indicates acceptance of the updated Policy.
